Any department/office storing documents containing Social Security Numbers, must store those documents in a lockable place.

Many file cabinets across campus have locks; but, the keys have been lost. The steps to obtain keys for those file cabinets are as follows:

  • Look inside the drawers for a label containing the manufacturer and model number.
  • Look at the locking mechanism. There should be an engraved alpha/numeric lock number where you would insert the key to lock the cabinet. You may have to use a magnifying glass in order to read the lock number.
  • Create a Procurement General Assistance Request, provide the manufacturer, model number and lock number from the file cabinet.

If the filing cabinet does not lock:

  • Look inside the drawers for a label containing the manufacturer and model number.
  • Create a Procurement General Assistance Request, provide the manufacturer and model number from the file cabinet.

If you cannot find any information indicating the cabinet’s manufacturer, model number or lock number, contact Dora English in Procurement & Contracts 850.474.2630 or create a Procurement General Assistance Request for assistance.

Procurement & Contracts will contact a local furniture rep. to obtain a quote for keys or lock and keys depending upon who the manufacturer is.
